CODE OF CONDUCT

Entry to events run by Animaga is bound by the following code of conduct. Failure to comply may result in removal from the event without prior notice being given, and may also result in the banning or blacklisting from future Animaga events.

Animaga wishes to create a fun and safe event for people of all ages to enjoy, this code of conduct exists so that injuries can be prevented and all attendees can enjoy themselves.

CONDITIONS OF ENTRY

  • Event passes or wristbands must be displayed at and visible at all times.
  • Attendees will be provided with wristbands corresponding to their purchased tickets, Animaga is not responsible for lost or stolen wristbands and will not be replaced if lost or stolen.
  • You are subjected to the rules and guidelines set out by Museums Victoria in regards to the Royal Exhibition Building.
  • Persons under the age of 12 years old must be attended with parent or guardian who is over the age of 18 years. Anyone found in breach of this will ask to leave the venue.
  • Stealing of any sort is not tolerated at the event, if any person is found doing so the police will be contacted.
  • Tickets are non-refundable if individual events, screenings or tournaments run outside of schedule or are cancelled.
  • Animaga, its board, management, staff, volunteers and membership (including its associates) and the venue will not be liable for any loss, damage, theft or injury sustained entering or within the premises during the event.
  • No glass, weapons, fireworks, illicit drugs or alcohol will be allowed into the venue and surrounding area.
  • No smoking is permitted inside or in the general premise of the Event.
  • Animals/pets are not allowed into the venue or the event, with the exception of Registered Guide Dogs.
  • Unauthorised alteration, removal, tampering, or bypassing of barriers and crowd control structures will not be tolerated. Persons found doing so will ask to leave the venue.
  • Pass holders consent to filming and sound recording as members of the crowd and/or audience. Individual photography/filming may not be undertaken without the permission of the subject. See “Filming and Photograph” below.
  • Animaga reserves the right to refuse entry to you and/or remove you from the event if you are acting in a dangerous manner or in a manner that may cause harm to yourself, other attendees, Animaga personnel, or venue personnel.

FILMING AND PHOTOGRAPHY

  • Photographs and video footage of attendees at the event are generally allowed in all public areas of the Event. Specific rules and restrictions regarding video, audio, and photography apply to certain areas of the event.
  • You are to comply with all directions or requests from Animaga regarding restrictions at any event or in any area at the event.
  • When photographing or recording video footage of individuals or costumes, you have to ask before taking/recording. The Individual reserves the right to refuse being photographed or recorded.
  • Photographs and recordings taken at the event, of its events, staff or attendees cannot be used for the purposes of sale or general publication for commercial gain unless you have written permission from Animaga.
  • Any published images and/or videos, you identify the image or video as being taken at an Animaga event.
  • Animaga reserves the right to decide whether an individual’s use of photography or video technology is inappropriate.
  • If Animaga determines that you are inappropriately using photography or video technology, Persons found doing so will ask to leave the venue.
  • By attending the event, You consent to be filmed or photographed by the Animaga Board, Management, Staff, Volunteers or their nominees during the event without compensation.
  • By attending the event, You grant an irrevocable, non-exclusive and perpetual right to Animaga to reproduce, display, distribute, perform, create derivative works from and otherwise use any images or footage of you.

You agree that any violation of this Code of Conduct which involves activities prohibited by law will result in the notification of the proper authorities, removal from the Convention without refund and may result in You being denied entry to future Animaga events.

  • No dangerous activities will be tolerated including but not limited to:
    • Aggressive actions towards Staff, Traders, Volunteers or Attendees
    • Fighting
    • Possession of weapons
    • Offensive Behaviour
    • Indecent Exposure
    • Other actions that could result in risk or harm to any persons or properties

Animaga accepts no liability for any injuries, damages or loss caused by these activities. In the case of an emergency evacuation or situation please follow official directives.

Every due care has been taken to ensure the venue is safe.

  • Animaga, its board, management, staff, volunteers and members, as well as the venue(s), cannot be held responsible for any loss, damage, theft or injury that occurs during the event.
  • Staff may provide assistance in the case of an emergency; this is done so at your own risk.

Staff are on hand for assistance in any situation, but any civil or medical emergency is to be handled directly by the relevant authorities.

SECURITY POLICY

  • Security present at any events is to ensure the safety attendees, staff, volunteers and the venue.
  • Security will be visibly present and make regular patrols.
  • Any offences will be handled by Security personnel and/or Police.
  • Decisions made by Security personnel are final and binding.

You agree that security personnel may eject you from the Convention for endangering the safety of the attendees, staff, volunteers, venue or yourself.

ANIMAGA HARASSMENT POLICY

  • Animaga has zero tolerance for any forms of harassment and bullying. Any person found in breach of this policy will be removed regardless if they are staff, traders, volunteers, members of the press or attendees.

Definitions of harassment include but is not limited to:

    • Verbal Abuse (Insults, Aggressive Yelling, etc…)
    • Physical Abuse (Punching, Kicking, Slapping, etc…)
    • Sexual Harassment (Unwanted Touching, Unwanted Sexual Advances, etc…) [1]
    • Deliberate Intimidation
    • Stalking
    • Deliberately damaging another person’s belongings (Intentionally Damaging Costumes, defacing bags, yanking on wigs, etc…)
    • Taking pictures/movies without an Attendee’s Consent [2]
    • Sustained Disruption of Events/Panels/Meetups
    • Showing overly sexualised imagery to others

If the Participant is asked to stop, they are expected to do so immediately.

If the harassment continues after a clear indication that it is unwelcome, report it to an Animaga Staff Member who will get a written statement from both parties, to ascertain what happened, and decide on whether to do next.

Potential responses if the complaint is upheld are:

    • Warning offenders
    • Removal from the convention
    • Banning them from future Animaga Events

If you or you see, anyone being harassed at Animaga. Contact one of the volunteers or staff to help resolve the situation. We will take statements from all parties and act accordingly.

[1] Due to cases at other conventions, Free Hugs and Glomping are banned due to people taking advantage of it.
[2] The intent of the photography/filming must be clearly stated before photography/recording starts.

Animaga reserves the right, at their discretion, to change and update this policy at any time without prior notice.

PROPS AND WEAPONS POLICY

  • Animaga may ask you to leave any large props and prop weapons with the staff in our cloakroom for the duration of the Event and only allow the use of the prop(s) during the Cosplay Competition.
  • Your prop cannot be more than 2 metres long or weigh more than 7 kilograms
  • Props cannot be made of metal.
  • All swords or bladed martial arts prop weapons must be blunt-edged and cannot have any sort of cutting or sharpened edge.
  • Prop metal swords must have a sheath and must remain in the sheath for the duration of the Event.
  • All prop bows must be unstrung or have a low-tensile thread and be incapable of shooting.
  • All prop arrows must have non-metal, blunted tips.
  • Animaga is not responsible for any actions taken by local law enforcement, such as detaining and questioning you, if you decide to display or brandish your prop at or outside of the Event.

REAL WEAPONS ARE PROHIBITED

No real weapon of any kind is allowed into an Animaga Event, this includes but is not limited to: firearms, knives, any form of ammunition, any items designed or manufactured with the intent to cause harm. Even if such weapons are inoperable or unusable, and regardless of whether you are licensed to carry such weapon, it is a violation of this Weapons Policy if they are carried to any Events.

TOY, LOOK-ALIKE, OR IMITATION FIREARM

In the state of Victoria, any device(s) that can be reasonably mistaken for a working firearm based on their appearance, despite not being functional, are classified as imitation of firearms and is a prohibited weapon.

Any toy, look-alike, or imitation firearm must have a green or orange tip to be allowed into the Event. If your prop weapon is deemed to look like a working firearm and does not have such tip, Animaga and its associated personnel reserves the right to deny entry to the event or ask for its removal.

Please refer to the guide put out by the Victoria Police if you are unsure about what constitutes as prohibited.

COSTUMES POLICY

  • Costumes cannot be overly sexualised.
  • No exposure of genitalia, buttocks or breasts is allowed.
  • Appropriate footwear is required at all times.
  • The soles of your feet should be covered at all times.
  • Very large wings/attachments to your costume (that extend significantly past your width and height) are usually not allowed to be worn while in the exhibitor’s hall. They are to be left in the cloakroom and collected for the cosplay competition or photo booth.

GUEST PHOTO BOOTH POLICY

Guests who have a Photo Booth session:

  • Onnies
  • Hakken
  1. Please follow all directions provided by staff.
  2. Animaga cannot guarantee photos for any particular guest. Late-comers run the chance of missing their opportunity. We recommend arriving early.
  3. Each Photo Booth Token is valid for two photo shoots with a group of up to five attendees.
  4. Photo Booth tokens are available for purchase for in limited quantities each day on a first-come first served basis at the Animaga Merchandise Booth.
  5. To keep the line moving and allow as many of your fellow attendees the opportunity to get their turn:
  • Please do not have long conversations with the guest.
  • Please be ready when you are near the front of the line.
  1. Always be respectful towards our guests. Anyone being rude, malicious, or intentionally disrespectful towards guests or staff will be removed from the line and escorted out from the convention.
  2. Animaga reserves the right to end the line of the Photo Booth session at any time.
  3. We reserve the right to refuse access to any attendee who fails to follow the rules.
  4. Please arrive 10 minutes early to your Photo Booth session; Photo Booth tokens are non-refundable if you miss your designated Photo Session.

  1. If you are not sure about any of our signing policies, have a general enquiry, or not sure if your item is eligible for an autograph, our staff will be available to help on the day at the Animaga Merchandise Booth

Drawing Competition

The drawing competitions are for everyone interested in showcasing their talents through traditional and/or digital artwork.

Guzzardi Art and Cosplay will be our judges for the 2019 Drawing Competition!

Categories

There are 3 categories:

  • On-Site 
  • Traditional Fine Art
  • Digital Fine Art

Rules

  1. Participants are allowed to submit one piece of artwork in each of the three categories. Please clearly specify which category upon submission.
  2. On-site submissions must be drawn on A4 paper printed with the Animaga logo and by Animaga during the convention. No theme is required from on-site submissions.
  3. All submissions are to be submitted via hard copy at the Drawing Area desk before 3 PM on 25th August (Sunday).
  4. Please note that submission deadlines are subject to change depending on our judges’ schedules.
  5. Please label your submissions with your name, your signature, and a title for your artwork at the back.
  6. All participants must be contactable when results are announced at 5:00 PM Sunday, on Stage 2.
  7. All artwork must be an original piece created only for Animaga, completed solely by the participant.
  8. Please note that previous winners of the Drawing Competition will not be eligible to win the same categorical prize. This is in consideration of allowing all participants to have an equal chance of winning a prize.
  9. The public will now be able to vote for their favourite artworks between Saturday 2 PM to 6 PM and Sunday 10 AM to 2 PM. Only one vote per category will be accepted per day. Keep in mind that voting popularity will not influence how an artwork is judged.

Awards

There are 2 prizes for each category:

  • 1st Prize
  • 2nd Prize

There is also an additional special mascot prize awarded to any artwork submitted regardless of category, featuring one or both Annya and Maka!

All traditional and digital art prizes are sponsored by MangaArts and Wacom, respectively.

GUESTS SIGNING POLICY

In Animaga 2019, the following guests will be available for autographs during the weekend in the Animaga Guest Signing Area:

  • Kakihara Tetsuya
  • Sanada Asami
  • Hakken
  • Onnies
  • Na-Ga
  • Kai

 

Please check the schedule for signing times for each guest. Our guests are very happy to meet and greet their fans during the signing session. However, due to high demand and limited time, we cannot guarantee that all attendees will be able to receive an autograph from a particular guest. To ensure as many people as possible are able to get Signing Tokens, please observe the following rules:

  1. Signing Tokens for each guest are available in limited quantities and are given first come, first served each day from the following locations:
    • Animaga Guest Signing Area
      • Kakihara Tetsuya
      • Sanada Asami
      • Na-Ga
      • Kai
    • Animaga Merchandise Booth
      • Hakken (Photo Booth Tokens also available for purchase here)
      • Onnies (Photo Booth Tokens also available for purchase here)
  1. Signing Tokens are only valid for the signing session on the day it was distributed.g. If you obtain a signing token for the guest on Saturday, then the token will not be valid for an autograph on Sunday.
  2. An attendee may only receive ONE Signing Token per Whilst we try our best to ensure everyone with a signing token receives an autograph, a signing token does not guarantee an autograph.
  3. Your Signing Token is only valid for ONE item to be signed. Please have your item ready for signing when you are in the line. (For CDs and DVDs, you should remove the cover to save time if you want the guest to sign inside.)
  4. Animaga Staff reserve the right to inspect the item before it is presented to the guest. 
  5. There will be strictly No Photography during signing sessions.
  6. Be considerate of your fellow attendees and avoid having lengthy conversations with the guests during an autograph session
  7. Animaga reserves the right to end the autograph session at any time
  8. Please refer to the Individual Guest Signing Policies for information specific to that Guest’s signing session.

Kakihara Tetsuya Signing Policy

  • Will sign on:
    1. Signing boards. (Signing boards will also be available for purchase at the Animaga Official Merchandise Booth)
  • Will NOT sign on:
    1. Any other items will NOT be signed.

Sanada Asami Signing Policy

  • Will sign on:
    1. Official merchandise of works which Sanada Asami has been involved in
    2. Signing boards. (Signing boards will also be available for purchase at the Animaga Official Merchandise Booth)
  • Will NOT sign on:
    1. Items relating to works which Sanada Asami has not been involved in. If you are unsure if your item is eligible for signing, please visit the Animaga Merchandise Booth on the day for assistance.
    2. Other items not listed above will NOT be signed.
    3. Any unofficial merchandise such as fan art, or bootleg items, will NOT be signed.

Na-Ga Signing Policy (KEY)

  • Will sign on:
    1. Official merchandise of works which Na-Ga has been involved in
      • Examples of works Na-Ga has been involved in include:
        • Little Busters!
        • Charlotte
        • Angel Beats!
        • Summer Pockets
      • A limited number of these goods will be available for purchase at KEY’s booth on the day
    2. If your item is eligible for signing from both Na-Ga and Kai, you may choose to have the item signed by one or both guests.
  • Will NOT sign on:
    1. Other items not listed above (including signing boards) will NOT be signed.
    2. Any works (including those from KEY) which Na-Ga has not been involved in. If you are unsure if your item is eligible for signing, please visit the Animaga Merchandise Booth on the day for assistance.
    3. Any unofficial merchandise such as fan art, or bootleg items, will NOT be signed.

Kai Signing Policy (KEY)

  • Will sign on:
    1. Official merchandise of works which Kai has been involved in
      • Examples of works Kai has been involved in include:
        • CLANNAD
        • Rewrite
        • Angel Beats!
        • Summer Pockets
      • A limited number of these goods will be available for purchase at KEY’s booth on the day
    2. If your item is eligible for signing from both Kai and Na-Ga, you may choose to have the item signed by one or both guests.
  • Will NOT sign on:
    1. Other items not listed above (including signing boards) will NOT be signed.
    2. Any works (including those from KEY) which Kai has not been involved in. If you are unsure if your item is eligible for signing, please visit the Animaga Merchandise Booth on the day for assistance.
    3. Any unofficial merchandise such as fan art, or bootleg items, will NOT be signed.

Hakken Signing Policy

  • Will sign on:
    1. Hakken’s official photobook and posters (a limited number of these will also available for purchase at the Animaga Merchandise Booth).
    2. Photos with Hakken taken at the Animaga Guest Photo Booth (please refer to the Animaga Guest Photo Booth Policy)
  • Will NOT sign on:
    1. Other items not listed above (including signing boards) will NOT be signed.

Onnies Signing Policy

  • Will sign on:
    1. Onnies’ official photobook and posters (a limited number of these will also available for purchase at the Animaga Merchandise Booth).
    2. Photos with Onnies taken at the Animaga Guest Photo Booth (please refer to the Animaga Guest Photo Booth Policy)
  • Will NOT sign on:
    1. Other items not listed above (including signing boards) will NOT be signed.

GIFTS FOR GUESTS

If you’ve brought something special for the guest, such as a personal note or small gift, we ask that you follow certain guidelines for practical and safety reasons.

  1. Please ensure that you provide the name of the guest, as well as your own name and contact information, either written on the outside of the message or attached clearly to the outside of the gift.
  2. Please do not wrap your gift using tape or tie it using ribbon; however, a gift bag or simple tissue paper cover is acceptable. (Animaga Staff must be able to screen all gifts.)
  3. Avoid anything large, bulky or easily damaged. Many of our guests fly in from overseas to and may have limited space in their luggage. Any gifts you bring should be small, durable, and easily packed.
  4. Please note that NO FOOD will be accepted.
  5. No items that contain human DNA will be accepted. (Blood, skin, or hair…)
  6. You may also bring your gift to the Animaga Merchandise Booth, and our staff will pass it on the guest.
  7. DO NOT use Q&A time during a guest’s panel to present your gift to the guest; this is extremely rude and unfair to other people who have come to hear the guest speak.
  8. You may bring your gift to the Guest’s signing session. Please ask our staff to check your gift before you present it to the guest.
  9. Staff at the Animaga Merchandise Booth will be happy to assist any other enquiries relating to Guest gifts.
