Additional Requirement

By applying for exhibitor/Artist alley/bare space at the Exhibition, a brand/business or an organisation agrees to abide by the Terms and conditions delineated below.

Animaga maintains the prerogative of final approval for all displays and the capability to adopt any measures deemed necessary to rectify situations that might negatively impact the convention, including expulsion of any Exhibitor from the Exhibition for noncompliance with stated requests. Compensation for loss of money due to expulsion from the convention will not be provided for failure to adhere to guidelines.

Any exhibitor failing to occupy their space under any circumstances will forfeit their money and the right to reclaim the space or investment. Animaga will not offer any refunds or transfers after receiving payment and the signed registration form.

PAYMENT
If payment is not made by the due date, the Exhibitor shall pay Animaga an additional $150 administration fee for each late payment. This amount is agreed to be a reasonable estimate of Animaga's overhead costs of seeking payment on the due date from the Exhibitor. It shall be additional to any other costs of enforcement. Please Note - All payments made by credit card will incur an additional fee of 1.6% of the amount paid using Visa/Mastercard/Amex.

In order to be eligible for the early-bird discount offered with the Exhibitor's package, full payment must be received by 1st June 2024. Full price payment must be received by close of business on 31st July 2024. Animaga will NOT reserve the space, if payment is not received before the due date (14 days after the tax invoice date).

REALLOCATIONS OF EXHIBITOR’S BOOTH
Despite anything to the contrary herein, Animaga retains the right to amend, alter or relocate an Exhibitor's Booth without adjustment of the price and the Exhibitor will not object thereto. In case the Exhibitor has paid a higher rate per square metre for the location of the Booth initially booked than the rate applicable to the location of the Booth as relocated, Animaga shall refund the Exhibitor the difference. Animaga shall not amend or alter the Exhibitor's booth to reduce its size. If the Exhibitor disapproves of any proposed relocation of the booth, the Exhibitor may within 7 days of being informed of such relocation give notice in writing of an intention to terminate this agreement. If Animaga does not within 7 days of the Exhibitor's notice give notice in writing withdrawing such relocation, this agreement shall be terminated and the Exhibitor shall be entitled as the Exhibitor's only remedy to receive a refund of all exhibition fees paid to Animaga.

RESTRICTED MATERIAL
Animaga Expo is a family-friendly event. Adult material can be sold but must not be displayed; the appropriate cloaking device should be in place to prevent underage viewers. Absolutely no illegal pornography is allowed; any violation of this will be dealt with severely. All sales must require proof of age.

Displaying adult-themed animation or live films at the event is strictly prohibited. Failure to comply may result in removal from the exhibitor's area, revocation of exhibitor status, and forfeiture of exhibitor fees. Sale of bootleg or unlicensed materials is not permitted. If any restricted, illegal, or contraband materials are found, they must be removed immediately. Non-compliance may result in cessation of trading and expulsion from Animaga without refund.

WEAPON POLICY
Weapons classified as a 'Schedule 1 Prohibited Weapon' under the Weapons Prohibition ACT 1998 are not permitted to be sold, displayed, or brought into the event or surrounding venue. Sales of items such as live blades, firearms, BB or 'Air Guns' (even without caps), dangerous or concealed spikes, martial arts weapons, or replica weapons must include explicit instructions to the purchaser that they should remain sealed.

Failure to comply with these restrictions may result in expulsion from the event and contact with local enforcement groups. For the safety of all attendees and workers, all weapons, imitation weapons, and props must be displayed and sold under the following guidelines. It is mandatory for all exhibitors to display this policy visibly within their exhibition space.

BOOTH AT ANIMAGA
The height of the booth's dividing and back walls must not exceed 2.4 meters from the pavilion floor. All products/services must remain within the allocated space, and must not obstruct walkways or exits. Booths or products may only occupy the designated space. Entry cards for exhibitors will be provided for the duration of the event. No products or booths may be removed without written permission from Animaga.

ELECTRICITY AND POWER
All electrical appliances, lighting, or equipment with a power connection must be tested and tagged by a qualified electrician, per State Work Place Health and Safety Regulations and Australian Standard 3760-2000. All untagged electrical equipment may be subject to removal at Animaga's discretion.

CLEANING, DAMAGES, AND ADDITIONAL COSTS
Exhibitors are responsible for keeping their booth clean and tidy throughout the event. Any damage to the venue will be billed to the responsible exhibitor.

INSURANCE
Exhibitors must have their own insurance to cover potential damages or losses to products and booths. A third-party policy with a reputable insurer covering public liability for no less than $20,000,000.00 must also be secured.

CANCELLATION POLICY
Cancellation fees are applied based on the date of cancellation notice received, ranging from 10% to 100% of the contracted amount due.

BUMP-IN AND BUMP-OUT HOURS
Exhibitors are responsible for the transportation and placement of their items. It's important that all items are clearly marked with the company name, logo, and booth number(s). The removal of all products must be completed on Sunday evening.

LIABILITY
Animaga is not liable for any delay, failure, or interruption resulting directly or indirectly from acts of God, civil or military authority, acts of terror, public enemy, war, accidents, fires, explosions, earthquakes, floods, the elements, strikes, labor disputes, shortages, power supply failure, or failure of lifts, postage, air conditioning, or any unforeseeable lack of availability of appropriate premises.
